Community Centre Hire Terms & Conditions
The Community Centre shall be open to all members of the community regardless of race, gender, sexual orientation, age, disability, religious or political beliefs or marital status.
These Terms & Conditions apply to all bookings made for the hire of the Community Centre facilities.
By making a booking through Bookteq, the hirer agrees to comply with the following conditions.
STRICTLY NO SUBLETTING IS ALLOWED
1. Bookings
All bookings must be made via the online booking system.
The person making the booking will be considered the hirer and will be responsible for ensuring that all individuals attending the event comply with these Terms & Conditions.
Bookings are only confirmed once full payment has been received.
2. Payment
Payment for all bookings must be made in full at the time of booking through the online system.
If payment is not received, the booking will not be confirmed and the space will be released for other users.
3. Security Deposit
All events require a refundable security deposit.
The deposit may be used to cover:
● Damage to the building, furniture, fixtures, or equipment
● Additional cleaning required after the event
● Failure to comply with the Terms & Conditions
The deposit will be refunded after the booking once the premises have been inspected and confirmed to be left in a satisfactory condition.
4. Care of the Premises
The hirer is responsible for ensuring that the premises are treated with care.
The hirer must ensure that:
● The premises are left clean and tidy
● Tables, chairs, and equipment are returned to their original locations
● All rubbish brought onto the premises is removed
● No damage occurs to the building or its contents
Any damage must be reported immediately.
The hirer will be charged for any repairs, replacements, or additional cleaning required.
5. Responsibility During Hire
The hirer is responsible for the behaviour and safety of all persons attending the event.
Children must be supervised by a responsible adult at all times.
The hirer must ensure that activities taking place are safe and appropriate for the premises.
6. Alcohol
Alcohol may only be consumed if this has been agreed in advance with the Community Centre.
The hirer must ensure that:
● Alcohol is not sold unless the appropriate licence has been obtained
● Alcohol is not supplied to anyone under the age of 18
● Consumption is responsible and controlled
The Community Centre reserves the right to stop an event if alcohol is being used irresponsibly.
7. Noise
Hirers must respect neighbouring residents and keep noise levels to a reasonable level.
Music must be kept at an appropriate volume and must stop at the agreed finishing time stated in the booking.
8. Fire Safety
The hirer must familiarise themselves with:
● Fire exits
● Fire evacuation procedures
● Assembly points
Fire exits must remain clear at all times.
In the event of a fire alarm, all persons must leave the building immediately.
9. Decorations
Decorations must be FREESTANDING ONLY.
The following are not permitted unless agreed in advance:
● Confetti or glitter
● naked flames
10. Bouncy Castles and Inflatables
Bouncy castles or inflatables are only permitted with prior approval from the Community Centre.
The hirer must ensure that:
● The equipment is supplied by a reputable company
● The supplier holds valid public liability insurance
● All safety instructions are followed
● Adequate adult supervision is provided at all times
The Community Centre accepts no responsibility for accidents or injuries relating to inflatables.
11. Food and Catering
If food is prepared or served at the premises, the hirer is responsible for ensuring that all food hygiene regulations are followed.
External caterers must hold appropriate food hygiene certification where required.
The kitchen must be left clean and tidy after use.
12. Safeguarding
Any group or organisation running activities involving children or vulnerable adults must ensure appropriate safeguarding measures are in place.
This includes appropriate supervision and safeguarding policies where required.
13. Insurance
The Community Centre holds public liability insurance for the premises.
However, hirers may be required to provide their own insurance depending on the nature of the event.
14. Access and Security
Access arrangements will be provided before the booking.
The hirer is responsible for ensuring that:
● The building is secured when leaving
● Lights and equipment are switched off
● Doors and windows are properly closed and locked
● The access doors will not be propped open. If they are and damage to the doors is caused, the hirer will be liable for the cost to fix.
Failure to secure the building may result in the loss of the security deposit.
15. End of Hire
The premises must be vacated by the agreed finishing time stated in the booking.
This includes time required for cleaning and packing away.
Additional charges may apply if the booking time is exceeded.
16. Cancellations
Cancellations must be made through the booking system or by contacting the Community Centre.
Refunds will be subject to the Centre’s cancellation policy.
17. Capacity
West Wing: 150 seated or 200 standing
East Wing: 75 seated or 100 standing
Meeting room: 30 seated
Under no account should these figures be exceeded.
18. Refusal of Bookings
The Community Centre reserves the right to refuse or cancel bookings if:
● The event is considered unsuitable for the premises
● These Terms & Conditions are breached
● There are safety concerns
Future bookings may be refused if the Terms & Conditions are not followed.
Agreement
By making a booking through Bookteq, the hirer confirms that they have read and agree to these Terms & Conditions.
